Important: Ensuring Group Membership Accuracy
For QTR Analysis 2025/1 – Group Membership to work correctly, pupils must have a registered school in their Pupil Record—specifically, an up-to-date Pupil School record.
- When a pupil is added to a school lesson, the system automatically adds/updates their Pupil School record.
- If a pupil is only manually added to a group, you’ll need to manually update their Pupil School record.
If a pupil’s School record is missing, the Group analysis will include them under an unnamed School Type, which can distort totals and funding profiles.
How to find and fix missing school records:
Run the query: Group Members – Pupils not registered with a School 2025.
This will identify pupils without a registered school so you can update their records promptly.
Why This Matters for Welsh Government Monitoring
While there isn’t a single, fixed government form explicitly for tuition and group membership, local authority and co‑operative music services are expected to provide quarterly monitoring data on tuition uptake, group participation, and learner impact. These returns feed into the national picture of access, equity, and progress against the National Music Plan.
In practice, the Welsh Government uses quarterly data to monitor:
- Access equity: e.g., urban/rural coverage; disadvantaged vs. advantaged learners.
- Breadth of provision: instrumental and vocal tuition, ensembles, choirs, bands, whole-class projects.
- Service sustainability: staffing levels, financial viability, and progression pathways.
